AI Business Automation
CRM automation that keeps HubSpot, Salesforce or Pipedrive accurate without asking reps to do more data entry.
What you get
A CRM is only as useful as the data in it, and the data depends on busy salespeople remembering to update it. They usually don't, and it's hard to blame them. Logging calls, copying details from emails, chasing the right owner for an inbound lead: none of it feels like selling.
CRM automation takes that work off their plate. We connect your CRM to the places leads and activity actually come from (web forms, shared inboxes, calendars, your storefront, your billing system) and make sure records are created, enriched, assigned and updated without anyone typing.
We work mostly with HubSpot, Salesforce and Pipedrive, plus the tools around them. Rules handle routing and field updates. AI handles the parts that need reading: summarising an email thread onto a deal, pulling a company name and budget out of a messy enquiry, or drafting a follow-up for a rep to review.
The result is a pipeline you can trust in a forecast meeting. This is part of our broader AI business automation work. If you'd like an agent that also qualifies and replies to leads, see our sales lead agent service, and for sales-team use cases, our sales solutions page.
The problem
Most sales leaders know the feeling. The pipeline report says one thing, the reps say another, and the truth is somewhere in their inboxes. Leads arrive through five channels and some never make it into the CRM at all. Duplicate contacts pile up. Deals sit in "proposal sent" for four months because nobody closed them out.
Adding more required fields doesn't fix this. It just adds friction, and reps find workarounds. The better answer is to capture the data automatically where it's created, and only ask people for the things that genuinely need their judgment.
What we build
Web forms, shared inboxes, live chat, event lists and marketplace enquiries all land in the CRM as proper records, matched against existing contacts first.
New leads get company size, industry, location and website filled in from enrichment services, so routing and scoring have something to work with.
Leads go to the right owner by territory, segment, product or round robin, with a Slack or Teams alert so nothing waits overnight.
Emails and meetings are logged against the right deal, and a model writes a short summary of long threads so the next person can catch up quickly.
Deals with no activity, past-due close dates or missing key fields trigger a nudge to the owner and a weekly digest for the manager.
Closed-won deals create customers in Xero or QuickBooks, projects in your delivery tool or accounts in your storefront, without re-keying.
Examples
Trade account requests arrive by email in every possible format. A model extracts company, contact, location and estimated order volume, the lead is created in HubSpot, enriched and assigned to the regional rep, who gets a Slack message with a one-paragraph summary.
When a deal is marked won in Pipedrive, the workflow creates the client in Xero, sets up a project from the right template, and sends the delivery lead a brief built from the deal notes and emails.
Portal enquiries are deduplicated against existing contacts, tagged by property and budget, assigned to the listing agent and given a drafted follow-up the agent can send or edit from their phone.
Every Monday, reps get a short list of their deals that need attention: no contact in 21 days, close date in the past, or missing amount. Managers get the team-wide version.
How we build it
We start with an audit, because automating a messy CRM just makes the mess faster. We look at your pipelines, required fields, lead sources and existing automations (including the ones someone set up years ago and forgot). Then we agree on a short list of rules that the automation will enforce.
HubSpot workflows, Salesforce Flow and Pipedrive automations are worth using for simple in-CRM logic, and they keep things visible to your admins. We add Make, n8n or a small custom service when the logic spans several systems, needs AI, or runs into the limits of the native tools.
Where CRM data needs to feed into management reporting, we tie this work in with reporting automation so sales numbers and finance numbers come from the same source. You can see how an engagement runs on our process page.
Mostly HubSpot, Salesforce and Pipedrive, along with Zoho and Close on request. If your CRM has a reasonable API, we can usually automate around it.
No. It takes repetitive work off reps and admins, but someone still needs to own the pipeline structure and decide on rules. We document everything so that person can manage it.
Yes. A one-time cleanup of duplicates, stale deals and inconsistent fields is often the first step, and we use the same rules in the ongoing automation so the mess doesn't come back.
Only if you want that, and usually only for simple acknowledgements. For anything personal, we draft the email and a rep approves it. Fully automated outreach is a separate conversation about tone, compliance and deliverability.
We only pass the fields a step needs to an AI model, use business API tiers that don't train on your data, and keep consent and unsubscribe fields in sync. If you operate under GDPR, we'll document where personal data flows.
Tell us which CRM you use and where leads get lost. We'll suggest the automations that would make the biggest difference first.
We pick tools for your situation, not ours. These are the ones we reach for most on this kind of work.
