AI Agents & Chatbots
An AI lead qualification agent that replies to inbound leads in minutes, asks the questions your reps would ask, and books the right ones into the right calendar.
What you get
Inbound leads go cold quickly. Someone fills in a demo form at 9pm, gets an automated "thanks, we'll be in touch", and by the time a rep calls the next afternoon they have already spoken to two competitors. Meanwhile reps spend hours on discovery calls with leads who were never going to buy: wrong region, too small, looking for a product you do not sell.
An AI lead qualification agent responds within minutes, at any hour. It has a short, natural conversation by chat or email, asks the questions your best rep would ask, checks the answers against your criteria, and then does the right next thing: books a meeting with the territory owner, sends the self-serve option, or routes the lead to nurture. Everything it learns goes into HubSpot, Salesforce or Pipedrive as structured fields, not a wall of chat transcript.
The agent does not replace your sales team. It makes sure their time goes to conversations that matter. It sits alongside our CRM automation work and is a core part of what we do for sales teams.
The problem
Most sales teams have the same two complaints about inbound. Good leads wait too long for a reply, and too many calls go to leads that a few questions would have filtered out.
Forms try to solve the second problem by adding fields, which lowers conversion and still misses context. "Company size: 11-50" does not tell you the visitor is a reseller looking for wholesale terms, or a student doing research. Generic chat widgets solve neither: they either collect an email and promise a callback, or route every chat to a rep who is already busy.
What actually works is what a good SDR does: reply fast, ask two or three sharp questions, recognize the fit, and get a meeting on the calendar while the lead is still interested. That is a narrow, well-defined conversation, which makes it a good job for an AI agent, provided the agent knows your criteria, your offer and its own limits.
What we build
Replies to chats, form submissions and inbound emails within minutes, day or night, in a tone that matches your brand.
Works through your criteria, such as budget range, timeline, volume, region and use case, conversationally rather than as an interrogation.
Creates or matches the contact and company, fills qualification fields, sets lead status and attaches a short summary for the rep.
Books qualified leads straight into the right rep's calendar by territory, segment or round robin, and sends confirmations.
Answers questions about products, integrations and process from your approved content, and stays within the pricing rules you set.
Points leads who are not a fit to self-serve options, partners or helpful resources instead of ignoring them.
Scenarios
A visitor asks about stocking the product in their shop. The agent asks about location, store type and expected order volume, checks for an existing account in HubSpot, and either sends the wholesale application or books a call with the regional rep.
After a demo form is submitted, the agent emails within minutes, asks about team size and current tools, and books qualified leads with an account executive. Small teams are pointed to the self-serve trial.
The agent responds to portal and website enquiries, asks about area, budget, timing and whether they need to sell first, then assigns the lead to the right agent with a summary in the CRM.
For example, an engineering consultancy gets vague enquiries through its website. The agent clarifies scope, location and deadlines, flags work outside the firm's capabilities, and prepares a brief for the partner who will respond.
How we build it
We start with your won and lost deals and short interviews with reps. Together we write down the questions that actually predict a good opportunity and the answers that disqualify. This becomes both the agent's instructions and the scoring logic, which lives in code so it is consistent and auditable.
The agent uses a few narrow tools: find or create contact, update qualification fields, check rep availability, book a meeting, log a note. Matching rules prevent duplicate records. Routing follows your existing territory or round-robin logic rather than inventing its own. For the model and tool layer we use the same approach as our LLM integration service.
We write test conversations covering strong leads, weak leads, competitors fishing for pricing, existing customers and people who give vague answers. Each has an expected outcome. After launch, reps can flag a misqualified lead from the CRM with one click, and those cases feed the next round of improvements. A typical first version is often live in 3 to 5 weeks.
FAQ
Most commonly HubSpot, Salesforce and Pipedrive, and we can work with others that have a reasonable API. The agent writes to the fields and pipelines you already use, so reporting does not change.
A fast, useful reply rarely puts people off. A slow one or a pushy one does. We keep conversations short, make it easy to reach a person, and review real transcripts during the first weeks to adjust tone.
We focus on inbound and follow-up, where the lead has asked to hear from you. We can help with research and drafting for outbound, but we do not build tools for sending large volumes of unsolicited AI-written email.
It uses your routing rules, such as territory, company size, product line or round robin, implemented in code. The model gathers the information and the rules make the assignment, so it is predictable.
A contact and deal in the CRM with qualification fields filled in, a three or four line summary of the conversation, and the full transcript if they want it. The meeting arrives in their calendar like any other booking.

Chatbots, AI agents and workflow automations get lumped together, but they solve different problems. Here is how to tell them apart and pick the right one for the job.
